Use the narrative form when the researcher matters to your argument, the parenthetical form when only the finding matters.

Author counts change the shape. One or two authors: name them every time, joined by an ampersand inside brackets (Rahman & Lim, 2024) and by “and” in narrative text. Three or more authors: use the first author plus “et al.” from the very first citation — (Rahman et al., 2024). This is one of the most common 6th-edition habits still being submitted, because the older edition asked you to list up to five authors the first time. Two capitalisation conventions cause most of the small errors. Titles of articles, books and chapters take sentence case: capitalise only the first word, the first word after a colon, and proper nouns. Four details inside those patterns are worth memorising because they are exactly what the 6th edition did differently. Do not include the publisher’s location — “Kuala Lumpur: Dewan Bahasa” is 6th-edition habit. Do not put a period after a DOI or URL. Present a DOI as a full https://doi.org/ link rather than a “doi:” prefix, and include one for every work that has one. And for page ranges, use an en dash with no spaces around it.

How Many Authors Do You List in the Reference List?

Use your word processor’s paragraph settings for the indent rather than pressing tab or the space bar, because manual indents collapse the moment the text reflows and reviewers can see it.

The other rule that matters more than its size suggests: the list and the text must match exactly in both directions. Everything cited in your text appears in the list, and nothing appears in the list that you never cited. Orphan entries — sources you read, decided against and forgot to remove — are among the fastest things an examiner spots.

What Are the Paper-Layout Rules?

Beyond citations, APA 7 sets out the document itself. A student title page carries the title, your name, your department and institution, the course, the instructor and the due date, with a page number in the top right; student papers no longer require a running head, which the 6th edition demanded. The manual allows several fonts rather than mandating one — 12-point Times New Roman and 11-point Calibri or Arial are all acceptable. In practice, though, your faculty’s thesis template overrides all of this.
